If you have a presentation with charts and reports, you may not know how often you will need to update it. For example, you can create a quarterly performance report and receive new data every hour. In this case, instead of PowerPoint tables and charts, it is best to embed an Excel object and create a dynamic presentation on PowerPoint 2016. The information is updated automatically after the updates in the Excel table.

Create a dynamic presentation on PowerPoint 2016:

To create a slide in the PowerPoint presentation with data that is automatically updated, follow these steps:

1. Open the Excel workbook that contains the desired chart.

2. Select the chart or table in Excel that you want to add to the PowerPoint presentation.

3. On the Home tab, in the Clipboard group, click Paste

4. Open the PowerPoint presentation slide where you want to insert the Excel object, and on the Home tab, in the Clipboard group, from the Paste drop-down list, choose one of the following:

a. If you want the chart to retain its appearance from the Excel file, select keep Source Formatting and link to Excel.

b. If you want the graph to use the look and feel of the PowerPoint presentation, select match destination formatting and link to Excel.

c. If you want to insert a table, click Paste Special.

Note: Any other paste option does not create a link to the source file. Therefore, any changes in the Excel table won’t update the table in PowerPoint.

When you want to update the data in the PowerPoint file, select the chart, and then under Chart Tools, on the Design tab, in the Data group, click Refresh Data.

If you want the update to be automatic in your PowerPoint file, select Paste Special in the dialog box, then select the Paste Link check box and click OK.

Now you can change data in the table or in the chart, you will see the changes in the PowerPoint presentation.
