Introduction:
During work, you may have to copy and paste data and graphics from Excel into Word or Powerpoint, or vice versa. Excel is undoubtedly much more efficient and more advanced to exploit data. However, it is not really ideal for presenting a table or chart within a report. Instead, you use Word Word Processor or PowerPoint Presentation.
If you need to explain graphs made with Excel and you want to insert them into a Word document while having the ability to update your data from the Excel file and keep their basic format, here's how to do it.
Steps to follow:
There are several ways to insert an Excel chart or chart into a Word or PowerPoint document. The easiest way is to use the Paste Special function.
1. Special Paste Method:
The Paste Special function maintains the values and format of the base document, so any changes in the source Excel document will be automatically reproduced in the Word document.
From Excel
• In Excel, click the graphic you want to paste into Word, and then press Ctrl + C or click Home> Copy.
In Word
• In Word, click Home, and in the list, choose one of the five paste options.
NOTE: roll the mouse over the options to read its description.
• To update a table or a graph in Word:
1. Click on the graph.
2. On the Create Graph Tools tab, in the Data group, click Refresh Data.
• To change a chart without having to leave Word
2. Ribbon method:
1. Click on graph.
2. On the Create Chart Tools tab, in the Data group, in the Edit Data list, select one of the following:
- Click Edit Data to edit the chart in Word (will open the data in a single sheet of data).
- Click Edit Data in Excel (Allows you to edit the data in an Excel sheet).
Direct modification method via the "Format of the chart zone" pane:
You can also edit the chart directly in Word by clicking one of the four buttons that are displayed then you click the chart.
Congratulations ! your data is now embedded in your document and you can now edit or update it easily if you need it.
